[Bookings]
Bookings must be made by fax to the Iceland Holidays, at +354/533 11 66, or by e-mail to icelandholidays@icelandholidays.is for individuals. Every detail regarding the booking must be included, in order for Iceland Holidays to ensure efficiency, including the passengers´ name, flight information if they require transfer service from Keflavík airport, all accommodation, tours and other services required. For group bookings please contact also icelandholidays@icelandholidays.is.
[Terms of Payment]
Individuals:
A non-refundable deposit of 20%, of the total package price, has to be paid when confirming the package to the Icelandic Travel Company (ITC). The Icelandic Travel Company (ITC) will send a Performa invoice for full payment, 6 weeks prior to arrival. Full payment (less deposit) shall reach the Icelandic Travel Company (ITC) at least 4 weeks prior to arrival in Iceland. In case of further delay on payments, the Icelandic Travel Company (ITC) will reserve the right to treat this as a cancellation and withdraw its confirmation of the services.
When the booking is made less then 30 days before arriving in Iceland, the total amount has to be paid in once.
After paying the deposit the Icelandic Travel Company will start making the reservations require for you holiday in Iceland.
Depending on the time you make your reservation, we will send you all necessary documents required and included (vouchers, road book, map of Iceland, .) When we think that there is not enough time to send you all the necessary documents, you will receive them on arriving in Iceland.
Payments can be done by credit card or bank Swift transfer, ITC accepts Visa and MasterCard. ITC has to pay a 3,5% handling fee when paying with a credit card and we regretfully have to pass this fee on to our clients, the fee is NOT included in the price send in the offer.

Groups:
A non-refundable deposit of 25%, of the total package price, has to be paid 8 weeks prior to arrival. The Icelandic Travel Company (ITC) will send a Performa invoice for full payment, 6 weeks prior to arrival. Full payment (less deposit) shall reach the Icelandic Travel Company (ITC) at least 4 weeks prior to arrival in Iceland. When the booking is made less then 50 days before arriving in Iceland, the total amount has to be paid in once.
For large group bookings of more than 50 rooms, ITC can require a 35% deposit for the accommodation which is non-refundable if the group is cancelled less than 6 months prior to arrival.

[Rooming lists]
A preliminary rooming list must be received no later than 8 weeks prior to the client's arrival, and a final rooming list at least 4 weeks prior to client's arrival.
[Validity of prices]
All offers sent by Iceland Holidays are 14 days valid from the day that the offer is made. When the 14 days are passed by, a new price will be calculated and the old one will not be valid anymore. The new offer will be again valid for 14 days.
All rates quoted or shown in our tariffs are based on current purchasing prices in Iceland. Iceland Holidays reserves the right to increase prices already quoted or published in our pricelists without notice in the event of currency fluctuation, government taxes, or due to any other cost increases that are outside Iceland Holidays control.
Any eventual changes in rates will not be made with less then 8 weeks' notice.
After the invoice has been issued the price is guaranteed against any surcharge, unless an increase is due to government laws or currency changes. Iceland Holidays will absorb an amount equivalent to 5% of the package price. Amounts that exceed the 5% will be charged and clients will be entitled to cancel their booking with a full refund if the surcharge exceeds 10%.
[Cancellation]
All cancellations must be made by letter, fax or e-mail. In conformity with business practices within the Icelandic travel industry, the Travel Agent is obliged to charge cancellation fees to passenger(s) as follows:
Time of cancellation: Individuals
More than 3 weeks prior to arrival none
Less than 3 weeks and more than 2 weeks 10%
Less than 2 week and more than 1 week 25%
Less than 1 week and more than 96 hours 50%
Less than 96 hours and more than 24 hours 75%
Less than 24 hours notice 100%
Time of cancellation: Groups (10+)
For large groups (=50 rooms) more than 6 months 20% (of accommodation)
More than 8 weeks prior to arrival none
Less than 8 weeks and more than 4 weeks 10%
Less than 4 weeks and more than 1 week 50%
Less than 1 week and more than 72 hours 75%
Less than 72 hours 100%
Please note that cancellation of passengers within a group may cause a price increase for the group or a cancellation fee for those particular passengers.
Cancellation terms may be stricter than stated above when dealing with conferences and large groups.
If a service which has unconditionally been confirmed is cancelled by Iceland Holidays, for example due to insufficient participation, cancellations must be made with at least 4 week's notice on Iceland Holidays behalf.
Iceland Holidays shall make every effort to provide similar alternative arrangements without additional cost to the buyer. Should those alternatives not be to the buyer's satisfaction, a full refund shall be made to the amount paid?
[Surcharges]
Tailor made itineraries: Upon request the Iceland Holidays offers tailor-made itineraries for individuals, for a special service fee of EUR 50,-
If a service is changed less than one week prior to arrival of the client a change fee will be charged.
Groups: EUR 250, - per group/portion of group
Individuals: EUR 85, - per booking.
Service fee for changes in self-drive programs are EUR 92, - per booking. No fee for booking additional nights in Reykjavik.
A last minute booking fee of EUR 100, - per booking, will apply to all bookings requested within two weeks of client's arrival. This fee will apply to bookings for self-drive packages and countryside accommodation. This however does not guarantee confirmation and will therefore only be charged for confirmed bookings.
[Liability]
Iceland Holidays disclaims responsibility for any loss, damage, accidents, sickness or changes in schedules caused by weather, strikes or any other irregularity outside the IIceland Holidays control. Iceland Holidays reserves the right to alter routes, itineraries or departure times, without prior notice, should the necessity arise. In case of any changes in flights (domestic and international), the passenger has to pay any additional cost caused by this, at the time the service is provided (extra hotel nights, meals, transfers etc.) We advise all clients to have insurance, as clients are on their own responsibility on optional tours, such as riding tours and snow scooter tours.
If the client is not satisfied with the trip to Iceland he/she must inform the Iceland Holidays of this within 2 months from their departure from Iceland. Otherwise possible compensation is not valid.
